What we collect
When you use https://vibeflowfestival.com, we may collect basic usage information such as pages visited, browser type, and general geographic region. If you submit a contact form, we collect your name and email address solely to respond to your inquiry. We do not use tracking pixels, behavioral advertising scripts, or third-party analytics beyond what is required for site operation.
How we use it
Contact form data is used only to respond to your message and route it to the correct team. Site analytics are used exclusively to improve the browsing experience. We never sell, trade, or transfer your personal information to third parties.
Data security
This site is hosted on Cloudflare Pages with HTTPS enforced across all connections. Form submissions are transmitted via encrypted Cloudflare Workers. We retain contact form submissions for no longer than 12 months, after which they are permanently deleted.
Cookies
We use only functional cookies necessary for basic site operation. We do not use advertising or cross-site tracking cookies. You may disable cookies in your browser settings; however, some site features may not function as expected.
Your rights
You may request access to, correction of, or deletion of any personal data we hold by contacting us via our contact page. We will respond to all data requests within 30 days.
Eventbrite & Ticket Data
Eventbrite as data processor
Ticket purchases are processed through Eventbrite, an independent third-party platform. When you purchase a ticket, you are providing your information directly to Eventbrite subject to their own Privacy Policy. Vivacious Flow Arts receives your name, email, and ticket type from Eventbrite to facilitate event check-in and communications.
How we use ticket data
We use Eventbrite-provided data solely for event operations: confirming purchases, sending event updates, and managing gate entry. We do not add ticketing data to marketing lists without your explicit consent.
Post-event retention
Attendee data from ticketing is retained for up to 12 months post-event for purposes of dispute resolution and financial record-keeping, after which it is securely deleted.
PandaDoc Application Data
Vendor, volunteer & musician data
Application data submitted via PandaDoc (name, contact information, business details, EPK materials) is processed by PandaDoc under their own Privacy Policy. Vivacious Flow Arts receives completed applications for review and contract processing.
How application data is used
Application data is used solely to evaluate and execute participation agreements. We do not share vendor, volunteer, or musician data with other parties. Rejected application data is deleted within 60 days of the event date.
Photography & Media at the Event
Consent by attendance
By entering the Kinzua Heritage Grounds for Vibe Flow Festival, you acknowledge that the event is documented through photography and video by our official media team. This content may be used in festival recap materials, promotional media, and social channels to share the spirit of Vibe Flow.
Consent is mandatory
All media produced at Vibe Flow is handled with full respect for community members. Our "Consent is Mandatory" guideline means our photographers and videographers will honor requests not to be photographed in intimate or personal moments. If you see yourself in published media and wish to have it removed, please contact us and we will honor that request promptly.
No commercial third-party use
Festival media is never sold to or licensed for commercial use by third parties without the explicit consent of identifiable individuals depicted. Recap content remains the sole property of Vivacious Flow Arts and is used only to promote Vibe Flow and the flow arts community.
